Earnest 40 Birthday Bash 2024 - terms & conditions
With the registration to the Earnest 40 Birthday Bash trip, you agree to the Zenbiz Travel Terms and Conditions as well as the terms listed below.
South Africa -Please ensure all documentation with the appropriate consulate well in advance of their departure from the US and that passports are also valid for the minimum validity required for ALL destinations being traveled to.
Any client wishing to utilize the services of the Company indicates their acceptance of these terms and conditions by proceeding with the booking. Upon doing so, such client is deemed to have read, understood, and accepted these terms and conditions and also confirms to have the authority to do so on behalf of the person/company in whose name the ultimate reservation or booking is made.
The Company accepts no responsibility for any changes made subsequent to a booking that has already been confirmed.
3. THIRD PARTY SERVICE PROVIDERS
The Company provides clients with the services either itself or by making use of sub-contractors (“service providers”) and these service providers are engaged in or associated with the travel industries, such as airlines, hotels, lodges, car rentals, etc.
Highline Travel Services (Pty) Ltd t/a Highline Tours & Travel. The contract in use by some of the service providers (which is often constituted by the ticket issued by the service provider e.g. airline ticket), which ticket and Terms and Conditions shall constitute the sole contract between the service provider and the client. It is the client’s responsibility to familiarize themselves with such terms and conditions (the service provider’s conditions). Each service provider has their own Terms & Conditions and cognisance must be taken of these Terms and Conditions as they do not form part of the Company’s Terms & Conditions as they may differ.
5. PASSPORTS
Passports must be valid for a minimum of 6 months from your scheduled return date. Please ensure you have the correct documentation with you ready for check-in, security clearance, and boarding gates. For international travel, government regulations require all travelers over 16 years old to be in possession of a valid (return) air ticket, a passport and visa, and health documentation (if required). Travelers without the necessary documents will not be allowed to board to avoid flouting immigration rules. Customers traveling to international destinations must ensure that their passports are signed on the space provided at the bottom of the page that lists contact details. This is a requirement from various Immigration Authorities that you must adhere to.
MUST Passports must be valid for a minimum of 6 months from your scheduled return date. Please note that visitors who wish to travel to South Africa must have a machine-readable passport that is valid for at least 60 days after their intended return date from South Africa.
MUST have sufficient blank pages in your passport. These pages must be completely blank, this is a requirement. This blank page does not include the page reserved for Observations, Amendments, or Endorsements.
It’s important to note that non-South African passport holders must have at least two (1) completely unused visa pages for entry or departure endorsements by the South African Immigration Service in their passport. Government regulations prohibit airlines from boarding travelers without the required blank visa pages, even if you hold a valid ticket and a valid passport.

6. TRAVELING WITH CHILDREN TO SOUTH AFRICA
What are the requirements for traveling with children?
All minor children traveling through any South African port of entry must have an unabridged birth certificate or an equivalent document. This forms part of South Africa's fight against human trafficking.

7. Visas
Visa requirements applicable to this quotation are as follows: At the time of this quotation, there is no visa requirement to South Africa for Canadian citizens. Clients are required to have two consecutive blank pages in their passport for South African arrival documents or they will be denied travel. For Zimbabwe and Zambia, a universal can be purchased. *Applies to US passport holders only. Please make sure that all destinations to be visited or transited are verified with the applicable consulate(s) for entry requirements prior to departure, together with requirements for anyone traveling on non-US passports. 8. Please Note: Additional Bio-Security requirements may be implemented by your destination (s) after the group has booked. Should we learn of any such requirements between now and the group’s departure we will inform you. Any extra costs associated will be passed on to the group and included in the final invoice.

The initial total price is calculated on 6 full-paying adults. When the number of full-paying adults are increased the cost of the full-paying adults will receive a discount. Room upgrades are available upon request. The discounts are as follows;
● 10 Full-paying adults - Guests will receive a discount of $474.00 per person for each full-paying adults
● 15 Full-paying adults - Guests will receive a discount of $646.00 per person for each full-paying adults.
*** Children under 6 are not permitted on game drives so would have to book babysitting services. Most hotels would be fine, would just have to opt for room types that allows for a child. Only issue is Franschhoek Boutique hotel does not allow any children under the age of 12. There is a special 1 hour drive for children and parents which is curated for children under 5.

> $150 per person a month payment toward the trip. No less that 50% of booking must be paid by August 23, 2024

11. CANCELLATIONS
A cancellation made by a client must be done in writing. The date on which the Company receives the notification will determine the cancellation fee payable, if any. General charges applicable in the event of a cancellation shall be as follows:
• Up to 120 days prior to arrival = $350.00 per person (non-refundable)
• 120 - 91 days prior to arrival = 25% of total fare
• 90 - 61 days prior to arrival = 50% of total fare
• 61 - 45 days prior to arrival = 75% of total fare
• 45 days or less prior to arrival = 100% of total fare
Cancellation charges may differ from the above as the Company makes use of different service providers such as hotels and lodges, not only in South Africa but also in other countries other than South Africa. The cancellation fees applicable/relevant to each service provider will be applicable should they differ from the cancellation figures set out herein. **** In the event one of the guests in a shared room does not attend the remaining guest is responsible for the single supplement should one be required.
12. VACCINATIONS AND HEALTH
The client shall acknowledge an awareness of the proposed itinerary and shall confirm that he/she is medically fit, in good physical and mental health, and is able to embark on the tour. Any client with a pre-existing medical condition or illness must declare such conditions to the Company prior to the commencement of a tour. Any failure to declare may result in the cancellation of the booking.
A certificate of vaccination against cholera and yellow fever is required by the Congo and Tanzania. Kenya requires a vaccination certificate against yellow fever. It is the client’s responsibility to ensure that he/she has the appropriate vaccinations. An anti-malaria prophylactic is highly recommended for all African countries. It is the client’s responsibility to check with his/her doctor for advice on other vaccination precautions such as cholera, yellow fever, typhoid, tetanus, polio, meningitis, hepatitis, COVID, etc, and have the necessary certificates as required by various countries.
12. CLIENT RESPONSIBILITY
It is the client’s responsibility to ensure that all travel documents, including documentation required for minor children traveling with or without their parents, passports, and visas are current, valid, obtained on time, have sufficient blank pages, will be valid for six months after return to their home country, and that any vaccinations, inoculations, prophylactic (e.g. for malaria), and the like, where required, have been obtained.
The client is strongly advised to check the relevant requirements for their destination and any transit countries before traveling. The Company will endeavor to assist the client if requested, but such assistance will be at the Company’s discretion (since this service does not fall within the scope of the services) and the client acknowledges that in doing so, the Company is not assuming any obligation or liability and the client indemnifies the Company against any consequence of the client’s failure to comply with any such requirements. It is the client’s duty to familiarize him/herself with the inherent dangers of and mental and/or physical condition required for the proposed travel arrangements.
13. Malaria and other tropical diseases
Certain parts covered by the client’s itinerary may be areas where there is a high risk of malaria and other tropical diseases such as yellow fever. It is entirely the client’s responsibility to check if any parts of their itinerary fall in high-risk areas and the client is strongly advised to take the necessary precautions in this regard. The Company recommends that the client checks with their medical practitioner and/or travel clinic well before departure.
14. SEVERABILITY
Should any of the terms and conditions of this agreement be held to be invalid, unlawful, or unenforceable, such terms and conditions will be made severable from the remaining terms and conditions, which will continue to be valid and enforceable. If any term or condition held to be invalid is capable of amendment to render it valid, the parties agree to negotiate an amendment in order to remove the invalidity.
15. INSURANCE
Travel and cancellation insurance is mandatory for all clients. All insurance is solely the responsibility of the client. Tour Operator states that it is mandatory that the client takes out travel insurance recommended for Africa for the full duration of the tour. The client must take out insurance to cover personal injury, medical expenses, emergency evacuation, repatriation, loss of luggage, and costs associated with the cancellation or curtailment of any tour. If a client becomes ill, all hospital expenses and doctor’s fees are the client’s responsibility. The Company shall not be held responsible for. any refund of the tour rate. The carriage and storage of all baggage and personal effects are always the client’s risk. The Company will not accept any liability for any loss or damage to baggage or personal effects, property or injury or illness to the client or loss of life or consequential damages which might occur from any cause whatsoever. 16. CLAIMS AND COMPLAINTS
Groups: In the unlikely event that the client has a complaint against the Company, such a complaint must first be taken up with the tourist guide during the tour, in order to enable the Company to investigate and/or rectify the situation.
17. UNSCHEDULED EXTENSIONS
In the unlikely event of there being an unscheduled extension to the final itinerary caused by flight rescheduling, flight delays, bad weather, strikes, or any other cause which is beyond the control of the Company or its agents, any expenses relating to such an unscheduled extension (hotel accommodation, etc) will be for the client’s account. The client should confirm whether any of these expenses may be covered by their travel insurance, should this be applicable. It is the client’s responsibility to confirm the specific provisions of the travel insurance.
18. ITINERARY VARIATIONS & TRANSFERS
While every effort is made to keep the final itinerary, the Company reserves the right to make changes intended for the client’s convenience e.g. in some cases, weather conditions can necessitate an alteration in the itinerary. Any such variations in the final itinerary do not constitute any reasons for a refund and the Company shall not be held liable for any such variations. It is the client’s responsibility to check each amendment to the itinerary.
Please note that no passenger who has not utilized an outgoing flight on a return ticket will be allowed to make use of the return trip, except where it should be permissible and where prior arrangements have been made with the airline.
19. LIMITATIONS OF LIABILITY
The Company, its officers, directors, servants, or agents will under no circumstances be liable for any claim, loss, damage, or injury suffered by any person whether to their person or property, howsoever caused, whether or not arising from any act, omission, default, or negligence on the part of the Company, unless such claim is due to the gross negligence or wilful conduct of the Company and such claim is lodged in writing with the Company within 30 (thirty) days after the final date of travel. Such liability will be subject to the limit of R10000 per client per booking and under no circumstances will the Company be liable for any indirect or consequential loss or damage.
20. CONFIDENTIALITY
The Company undertakes to deal with all clients’ information of a personal nature on a strictly confidential basis as set out in the POPI Act and/or as agreed to in their GDPR agreement where applicable.

Guest acknowledges Zenbiz Travel, LLC of New York City as the official travel agent for this trip. The tour operator is Highline Tours & Travel of South Africa. Zenbiz Travel Terms and Conditions also apply.
